Facilitating action and strategy review sessions

In the ‘Do, learn, and adjust’ approach we distinguish between two types of sessions:

In the action review session, you and your team answer the question: are we doing things right? It is a periodic session focused on the progress of the actions.
The strategy review session focuses on the progress of the strategies and answers the question: are we doing the right things?

Scheduling action and strategy review sessions is not available on the Start subscription. You can still open the reports to discuss in a session on both subscriptions.

Opening the reports

How you reach the right reports during the session depends on your subscription.

On the Pro subscription, the process owner schedules the sessions and the owners link their progress reports to a specific session (see Link progress reports to a session). During the session you open exactly that set of reports. There are three ways:

Via the team dashboard

Go to the team dashboard. Click the team name in the menu, on My teams or use the search.
The block Upcoming session shows the next action or strategy review session. Click Show reports to open the reports that are linked to this session.

Via the main menu

Hover over the team in the main menu. In the quick menu that appears, the scheduled action and strategy review sessions are listed under Report. Click the session you need.

Via the OGSM toolbar

Open an OGSM of the team.
In the toolbar, click the arrow next to Report and choose the session you need.

Start subscription: via the OGSM report view

On the Start subscription you do not schedule sessions in OGSM.online. You pull the report for a session directly from the OGSM:

Open the OGSM.
In the toolbar, click the arrow next to Report and choose Action review session or Strategy review session.

You see all items with their most recent progress report. For the details, read the article OGSM report.

In the action review session you discuss

In the action review session the team discusses the actions that are not going according to plan and how they can improve the execution. Present the progress reports on a screen so that all team members see the same information.

You see an overview of actions with the status ‘In progress’ or whose start date is in the past (meaning the action should already have started). The overview contains the following actions:
- The traffic light is amber or red. These are the actions you need to make a decision about.
- The action has no progress report yet. Discuss with the owner how it is going.
The overview is supplemented with actions that have been completed since the previous session. Check that all the work has indeed been done so the action is rightly marked as ‘Done’.

In the strategy review session you discuss

In the strategy review session the team discusses the strategies and how to improve the results. You see the following items:

The strategies.
The KPIs.
An overview of actions with the status ‘In progress’ or whose start date is in the past (meaning the action should already have started). The overview contains the following actions:
- The traffic light is amber or red. These are the actions you need to make a decision about.
- The action has no progress report yet. Discuss with the owner how it is going.
The overview of actions is supplemented with actions that have been completed since the previous session. Check that all the work has indeed been done so the action is rightly marked as ‘Done’.
