Scheduling action and strategy review sessions
You can only schedule action and strategy review sessions if you are the Administrator of a team.
Scheduling sessions is only available on the Pro subscription. On the Start subscription you cannot schedule sessions, but you can still prepare reports for a session through the OGSM report view. See Facilitating action and strategy review sessions for more on that. Contact your administrator or contact person if you want to upgrade your subscription.
Process owner
The process owner of the team is responsible for the Do, learn, and adjust process. It works best if this role is filled by someone from outside the team, so that all team members can focus on the content of the plan. The role can also be taken on by, for example, the team leader.
Why schedule action and strategy review sessions?
In OGSM.online, the process owner can indicate when the action and strategy review sessions take place. This has the following benefits:
- Team members see on My overview when the next session is scheduled and which actions, strategies and KPIs they still need to prepare. Click Report to go straight to the open progress reports.
- One week before the session, the owners of the actions, strategies and KPIs receive an email inviting them to add their progress reports. The email contains a link to the items they need to report on. A few days before the session they receive a reminder email if needed.
- On the team dashboard and on the team’s session overview page, the process owner can see at a glance how far the team has progressed with the preparation.
Scheduling sessions
- Go to the team dashboard of the team you want to schedule sessions for.
- Click Manage team at the top right and choose Sessions. You land on the team’s session overview, with all upcoming and past sessions.
- Click Add session.
- Enter the date of the session and decide whether the session should repeat automatically.
- Select whether it is an action review session or a strategy review session.
- Choose whether you want to send an invitation and reminder to the team members:
- The invitation is sent one week before the session to the owners of the strategies, KPIs and actions. The email contains a link to the items they need to report on.
- The reminder is sent three days before the session to the owners who still need to prepare a report.
- Click Save.
- Add more sessions if needed.
On the team dashboard and on the session overview, team members can see when the sessions are scheduled. They cannot edit these sessions.
