Scheduling doing and steering sessions

You can only set up act and adjust sessions if you are the Administrator of a team.

Setting up these sessions is not yet available in every environment. Contact your administrator or contact person if you have questions about this.

Process owner

The process owner of the team is responsible for the process of acting, learning, and adjusting. It works best if this role is filled by someone from outside the team, allowing all team members to focus on the content of the plan. However, the role can also be taken on by, for example, the team's leader.

Why should you schedule the doing and steering sessions?

In OGSM.online, the process owner can indicate when the act and adjust sessions will take place. This has the following benefits:

  • Team members can see on the 'My overview' page when the next session is scheduled.
  • On this page, they see a button to directly view the actions and/or strategies involved and a button to read the progress reports.
  • A week before the session, the owners of the actions and/or strategies receive an email with an invitation to add their progress reports. The email includes a link to the items they need to report on. A few days before the session, they receive a reminder email if necessary.
  • The process owner can see immediately on the 'Process status' page whether all actions and/or strategies have been updated.

Setting up sessions

  • Go to the 'Process status' page through the menu.

  • Click on the 'Add session' link in the 'Calendar' section.
  • Enter the date of the session and select whether it is an doing or steering session.
  • Choose whether you want to send an invitation and reminder to the team members:
    • The invitation is sent a week before the session to the owners of the strategies and/or actions. The email includes a link to the items they need to report on.
    • The reminder is sent three days before the session to the owners who still need to prepare a report.
  • Click on 'Save'.
  • Optionally add more sessions.

On the 'Process status' page, the team members can see when the sessions are scheduled. They cannot edit these sessions.
