2 factor authentication

To use the platform you must log in with your e-mail address and a password of your choice. To improve security, the platform administrator can set (certain groups of) users to use 2 factor authentication.

What is 2 factor authentication?

2 factor authentication is a second gateway to the platform. You open the first gate with your password. You open the second port with a code that is generated by an app on your smartphone. This code is unique and can only be used temporarily. The code is different every time you log in.

Log in for the first time with 2 factor authentication

If 2 factor authentication is enabled, you must link the platform to the authentication app the first time you log in. This is a one-off. The next time you log in, you will immediately see the correct code in the app.

Step 1: Install an authentication app on your smartphone

There are various authentication apps that you can use, for example Microsoft Authenticator, Google Authenticator or Authy. All these apps are available for free in the App Store (iPhone) and in Google Play (Android). The operation of the different app is comparable. Google Authenticator is the most easy to use.

Step 2: Link the authentication app to your account on the platform

The first time you log in, you must link the authentication app to your account on the platform. You see this screen:

Below we show the steps for:

  • Microsoft Authenticator
  • Google Authenticator
  • Authy

Microsoft Authenticator

In the steps below we use Microsoft Authenticator as an example. The steps are similar in the other apps.

  • Install Microsoft Authenticator from the App Store (iPhone) or Google Play (Android).
  • Open Microsoft Authenticator on your smartphone.
  • The first time you need to register with Microsoft Authenticator. The advantage of this is that your accounts can be synchronized across multiple devices (so that you can also see 2 factor authentication on your tablet, for example).
  • Click on the 'Add account' button or the plus sign to add a new account. You can use the app for multiple accounts on different platforms.
  • Select 'Other' for the type of account.
  • Scan the QR code on the screen with Microsoft Authenticator. Your account has now been added to the app.

A temporary code appears in Microsoft Authenticator. This code is valid for 30 seconds. When the code has expired a new code will appear that you can use.

  • Enter the code in the field and click 'Enable'.
  • The platform is now linked to Microsoft Authenticator. You are now logged in to the platform.

Google Authenticator

In the steps below we use Google Authenticator as an example. The steps are similar in the other apps.

  • Install Google Authenticator from the App Store (iPhone) or Google Play (Android).
  • Open Google Authenticator on your smartphone.
  • Click on the plus sign to add a new account. You can use the app for multiple accounts on different platforms.

  • Select 'Scan QR code'. The app may now request access to the camera. Allow the app to access the camera to take the next step.

  • Scan the QR code on the screen with the authentication app. Your account has now been added to the app.

A temporary code appears in the authentication app. This code is valid for 30 seconds. When the code has expired a new code will appear that you can use.


  • Enter the code in the field and click 'Enable'.
  • The platform is now linked to the authentication app. You are now logged in to the platform.

Authy

In the steps below we use Authy as an example. The steps are similar in the other apps.

  • Install Authy from the App Store (iPhone) or Google Play (Android).
  • Open Authy on your smartphone.
  • The first time you need to register with Authy. The advantage of this is that your accounts can be synchronized across multiple devices (so that you can also see 2 factor authentication on your tablet, for example).
  • Click on the plus sign to add a new account. You can use the app for multiple accounts on different platforms.

  • Select 'Scan QR Code'. The app may now request access to the camera. Allow the app to access the camera to take the next step.

  • Scan the QR code on the screen with the authentication app. In Authy you can give the account its own name.
  • Your account has now been added to the app.

  • Enter the code in the field and click 'Enable'.
  • The platform is now linked to the authentication app. You are now logged in to the platform.

Log in with 2 factor authentication

You only have to link your account to an authentication app once. The next time you go through the following steps.

  • Login with your e-mail address and password.
  • You will now see a screen '2-factor authentication'. Open the authentication app. You will see a code associated with your account.
  • Enter the code in the field and click on 'Log in'.

Note: the next time you log in again with the same device, you do not have to enter the code. This only needs 1 times in the 30 days. You must log in with the code on another device or if the cookies are deleted.

Re-add account to the app

If you have accidentally deleted your account from the authentication app, you will no longer be able to log in. Send an e-mail to the administrator of the platform with the request to reset your account or contact help@toolsfactory.nl. Once the administrator has done that, you can link your account again.
